Project Coordinator


SGA is seeking a detail-oriented Project Coordinator to oversee and effectively lead the administrative tasks for Project Managers and team members. The Project Coordinator will proactively communicate with various Project Managers and departments regarding updates and changes to the project plan. The Project Coordinator will assist with coordination of project resources, meetings, meeting minute documentation, project related data entry, submittal receipt/distribution/log-in, RFI coordination, and project information filing to assist in maintaining the success of the project.

Essential Duities + Reponsibilities

Essential duties and responsibilities include the following:

  • Provide administrative support to project team (project managers and team leaders) for the overall life-cycle of projects:
    • Taking and coordinating design meeting minutes
    • Project and project team schedule/calendar management 
    • Program / Equipment Matrix Data Entry
    • Printing, sorting, assembling drawing packages for multiple, varying issuances
    • Construction Documentation permit assembling/stamping coordination/submissions
    • Generation of design affidavits for signature
    • Transmittal generation for project issuances
  • Provide project administration support for construction administration:
    • Logging in/distributing shop drawings/submittals to the corresponding discipline
    • Assist in assembling Bulletins/ASIs
    • Track submittal due dates to ensure they are returned and distributed per the contractual agreement
    • Track and submit RFIs to ensure the project team provides timely responses
    • Produce field reports, for review, utilizing Project Teams field notes and photos
    • Generation of construction control affidavits for signature
    • Assist in project closeout procedures
  • Other:
    • Assist with obtaining discipline proposals and add service directives from project consultants
    • Assist with editing and assembling proposals
    • Assist with assembling and transmitting consultant agreement
  • Complete general office-related administrative activities as needed or available.

  • Business acumen: understands business principles and financial performance metrics
  • Understanding of basic accounting principles, terms and financial functions
  • Excellent attention to detail, a high regard for accuracy, and the ability to provide high quality outputs
  • Professional verbal and written communication skills
  • Time management skills and the ability to prioritize work effectively to meet tight deadlines and adapt to changing workload demands
  • Strong interpersonal skills and a positive “can do” attitude
  • Ability to develop innovative solutions when experiencing unexpected challenges or roadblocks
  • Experience in a Professional Services consulting firm (architecture/engineering/planning) 

Education + Experience

  • At least two (2) years’ experience in a project administration / project management role


  • Must be proficient in all Microsoft and Google Suite products
  • Familiar with Newforma and Procore preferred
  • Exhibits willingness to learn other software platforms as required to perform role effectively
