Executive Administrative Assistant


Summary

This role is responsible for acting as the administrative point of contact between the executives and internal/external clients. Working with the executives, he/she is expected to handle requests and queries appropriately, undertake the task of receiving calls, taking messages, and routing correspondence.


Essential Duites + Reponsibilities

  • Acting as the administrative point of contact between the executives and internal/external clients
  • Knows how to stay two steps ahead and prioritize
  • Undertaking the tasks of receiving calls, take messages and routing correspondence
  • Handling executives’ requests and queries appropriately
  • Maintain diary, arrange meetings and appointments and provide reminders
  • Book travel, with detailed itineraries
  • Take dictation and minutes and accurately enter data
  • Monitor office supplies and research advantageous deals or suppliers
  • Develop and carry out an efficient documentation and filing system
  • Handle all expense reporting
  • Provide front desk coverage when necessary
  • Consistently handles confidential or business-sensitive information with the utmost integrity and discretion

Qualifications

  • Excellent organization skills with an acute attention to detail
  • Extensive experience interacting with senior executive leadership
  • Able to influence others, manage conflict appropriately and know when to
  • delegate issues upward
  • Ability to juggle multiple tasks in a fast-paced and time sensitive environment
  • High level of discretion, trustworthiness and confidentiality
  • Excellent written and verbal communications skills
  • 5+ years of administration/personal assistant experience to senior management or higher is required
  • Consistent professional, calm and positive demeanor
  • Proven ability to keep all matters highly confidential
  • Strong customer service and leadership skills
  • Team-oriented, can-do attitude and desire to be a productive contributor to
  • the overall organization.
  • Learns quickly and can change course quickly when needed

Education + Experience

  • 5+ years of administration/personal assistant experience to senior management or higher is required
