Accounting Specialist


Summary

This role is responsible for all areas of Corporate Accounting including Client Invoicing, Accounts Payable, Accounts Receivable, Project Accounting and Account Reconciliations.


Essential Duites + Reponsibilities

Client Invoicing

  • Prepare and maintain accurate and timely processing of all monthly invoices to clients
  • Ensure all invoicing are billed monthly and in accordance with company practices and/or client contracts
  • Work with project managers to ensure all WIP is billed monthly or create billing schedules
  • Edit client invoicing based on project managers or client revisions
  • Upload invoices into client portals with supporting documentation when required
  • Complete partial and final lien waivers for clients
  • File invoices electronically in appropriate project files

    Accounts Payable
  • Review and maintain the Accounts Payable e-mail daily
  • Process all consultant and vendor invoices as received via mail or e-mail
  • Resolve consultant invoices that are not consistent with approved proposals
  • Enter various office invoices and employee expenses for payment
  • Pay Trade and Consultant invoices as directed
  • Resolve vendor and consultant issues in a timely manner
  • Complete vendor setup and maintenance in accounting software

    Accounts Receivable
  • Facilitate AR aging reviews with Principles in Charge and/or Project Managers
  • Conduct regular unbilled WIP and A/R maintenance to keep reports current

Education + Experience

  • A minimum of a Bachelor’s degree in finance or accounting
  • 3 to 5 years’ experience in financing or accounting

Technology

  • Proficient with Excel, Word, Google Workspace and some experience with Power Point
  • Experience with service companies
  • Experience with Ajera or Deltek software preferred
